GENERAL INFORMATION

Specialty Chair

Specialty Chair must be a member in good standing of the AB&TCC for a minimum of 2 years. (November 2003 Amendment)

Districts

The United States are to be divided into four districts or regions, which are as follows:

Eastern: Connecticut, Delaware, Maine, Massachusetts, New Hampshire, New Jersey, New York, Pennsylvania, Rhode Island, Vermont.

Southern: Alabama, Arkansas, District of Columbia, Florida, Georgia, Louisiana, Maryland, Mississippi, North Carolina, South Carolina, Tennessee, Texas, Virginia, West Virginia.

Central: Illinois, Indiana, Iowa, Kansas, Kentucky, Michigan, Minnesota, Missouri, Nebraska, North Dakota, Ohio, Oklahoma, South Dakota, Wisconsin.

Western: Alaska, Arizona, California, Colorado, Hawaii, Idaho, Montana, Nevada, New Mexico, Oregon, Utah, Washington, Wyoming.

 Rotation

Two of the regions may have specialty shows in each calendar year. One show will be designated as the national specialty and one show will be designated as the regional specialty.  The Regional Specialty may not be held the month prior, during, or after the National Specialty.

A copy of the rotation schedule is included in the specialty manual as well as part of the application packet.  The club secretary upon request will provide a rotation schedule to members considering hosting a specialty.

A written application/proposal must be submitted to the club secretary of the American Black and Tan Coonhound Club by the following dates in order for the region on the rotation schedule to receive first consideration.

  • National Specialty---Two years prior to the event (before January 1)(Amended April 2004)
  • Regional specialty---Two years prior to the event (before June 1)(Amended April 2004)

Districts are not required to hold a specialty, regional or national.

A district may choose to skip a year in the holding of a regional specialty, but then defers having one until that district comes up again in the rotation.

A district opting not to hold the national specialty in a particular year in which it is their turn, then defers having one until that district comes up again in the rotation.

If there are no applications for a national or a regional by the deadline for the specialty [National Specialty---Two years prior to the event (before January 1) and Regional specialty---Two years prior to the event (before June 1)(Amended April 2004)] any other region may apply and will be given equal consideration by the AB&TCC Board.  Once the deadlines pass no preference will be given to the region that missed the deadline originally.

 Finances

The national club is solely responsible for all finances related to regional and national specialties.

o       All monies collected (i.e. checks) should be turned in to the treasurer in a timely fashion and not as a lump sum after the specialty.

o       All trophy purchase expenses, the dinner expenses, and judge’s gifts should be planned and the treasurer should forward the necessary funds.

o       At an independent where the club is responsible for the judging expenses there should be a check from the club for payment the day of the specialty.

The final financial report is due in the treasurer’s office within 45 days of the event. Any funds remaining after all expenses are paid are to be submitted to the treasurer with the report. Any deficit reported is to be accompanied by a request for reimbursement.

Other

It is recommended, but not required, that the specialty (national) be independent of an all breed show, and that both specialties (regional or national) be held in conjunction with at least one all breed show.

The national club will assist in any way possible, for both regional and national specialties. Mailing lists and information from previous specialties will be available.

Any group of Black and Tan supporters may choose to have a supported entry at an all breed show. This is outside the authority of the national club, and as such, the national club has no responsibility for any aspect of such activity.  In no case shall the national club be listed as a participant or as the responsible party.

PROCEDURE FOR APPLYING FOR A SPECIALTY

Application

An application may be requested of the club secretary. An application form can be found in the form section of the specialty manual. The completed application form sent to the AB&TCC must include the following:

o       Information regarding travel access---automobile, airplane etc.

o       Any other general information that may be of help or interest to the board.

o       Budget---as detailed as possible, including show secretary / superintendent costs.

 Submission

A written application/proposal is submitted to the club secretary of the American Black and Tan Coonhound Club by the following dates:

  • National Specialty---Two years prior to the event (before January 1)(Amended April 2004)
  • Regional specialty---Two years prior to the event (before June 1)(Amended April 2004)

Within five (5) days of receipt of the proposal, the secretary will transmit copies of the proposal to all board members.

The board will discuss the application among themselves, and request additional information from the requestor if needed.

 Approval

A vote will be held (either by mail or e-mail) after discussion and additional information has been collected.

A simple majority of the total board (not total votes) is necessary for approval. (Ballots are to be kept as a part of the secretary’s permanent file for a period of two years).

Upon receipt of a majority vote, the club secretary shall immediately do the following:

o       If the vote is to approve, the secretary will so notify the show chairman named in the proposal, and direct him/her to proceed. Also, the secretary will file a show application with the AKC.

  • If the vote is negative, the secretary will immediately notify the person listed as show chairman in the proposal.

SHOWCHAIR RESPONSIBILITIES FOLLOWING APPROVAL

The show chair will become familiar with the rules of the AKC pertaining to the conduct of a dog show and/or obedience trial. All applicable regulations of the AKC will be followed.

The show chair should immediately advise the show committee of board approval and should provide the necessary information and deadlines to each committee chairman in order that they may proceed with their designated duties.

The show chairman should immediately confirm in writing the show site, and source of ring equipment, including obedience equipment if applicable.  Copies of all documents are to be sent to the club secretary as they are generated.

The show chairman should contact and confirm in writing the judges selected for the assignment and also obtain a written estimate of their expenses.

The show chairman should immediately obtain and confirm in writing the following:

  • The show secretary/superintendent.
  • Required deadlines for the premium lists and the show catalog.
  • Shows held in conjunction with an all-breed club should also confirm in writing the manner in which the host club will divide sweepstakes awards and futurity entry fee funds.
  • Motel and banquet arrangements, as well as a suitable area for holding the annual meeting at the National event, should be completed within the first six months of the approval date.

Prior to the premium list deadline provided by the show secretary, the following items should be confirmed, preferably in writing:

  • Stewards for breed classes, obedience, sweepstakes, futurity if applicable.
  • Show veterinarian
  • Show photographer

The show chair should begin to make specialty announcements in the club newsletter on a monthly basis, as the arrangements are confirmed. This will enable members to make their plans well in advance and give them every opportunity to support the event.

The show chairman should keep accurate and up-to-date financial records of all receipts/expenses for the specialty making sure checks are promptly deposited. A final expense report for all specialties is due to the club treasurer no later than 45 days after the event. The show chairman should also provide a copy of the premium lists to the club secretary along with marked catalogs.

JUDGE SELECTION PROCESS

Background

Judges should be chosen carefully and should be familiar with our breed and capable of giving authoritative opinions after examination of dogs brought before them. It is preferred that candidates have experience judging large entries in multiple regions of the country.

No conformation judge may be selected within a four-year period of a prior assignment at a club specialty.

All judges chosen to judge at a National Specialty will be asked not to judge the breed for the six months prior to the specialty. This request does not apply to the Regional Specialty.

Obedience judges must be licensed to judge all obedience classes.

The host-show committee (if held in conjunction with all-breed shows) should be solicited first for potential judge candidates. The show chair should also look into the availability of qualified judges local to the show location.

Preliminary questions to ask candidates include, licensing status  (judge must be AKC licensed for the Breed). Judge's Fee  (may be per dog, by day or total event). Travel Expenses, hotel accommodations and meals that will be required by the judge. And their ability and willingness to decline other judging assignments as required by the judge selection guidelines.

Vote by the Membership

After this first screen, candidate names should be sent be the club secretary for a general membership vote of preference.

Following a tally, the show chairman will confirm availability and the terms of the agreement with the judge who receives the most votes. Once the judge accepts the assignment they should be asked to submit a short biography to be included in the newsletter.  Assuming all other arrangements are made, the board should be notified for final approval as soon as possible so that the judge can be put under contract and the AKC notified.

The Futurity judge selection need not be licensed to do the breed, and can be a long time breeder or exhibitor. They are not paid but should be invited to the banquet. They should turn in a report to the show chair for the newsletter.

 Judge's Contracts

Contracts must include the following points:

  • Name of contact
  • Show Dates
  • Name of Club
  • Indoor or Outdoor
  • Location of Show
  • Judging Assignment
  • Judging Restrictions
  • Judge's Fee
  • Travel Expenses
  • Hotel Accommodations
  • Meals
  • Reimbursements
  • Written Judge's comments

Usually the conformation judge will also judge Junior Showmanship. If this judge agrees to preside over Junior Showmanship, be certain to include this in the judge's contract. If you need a separate judge, often a local AKC-licensed judge will do so. This is an ideal assignment for a provisional judge if one is available locally. These judges will welcome the experience.

Miscellaneous

Judges must be engaged for all events. All judges should be invited to attend and speak at the Judges' Dinner and asked to write a critique for publication in the newsletter.

For performance events (i.e. obedience), the chairman should contact the host-show committee (if held in conjunction with all-breed clubs) to ask for potential judge candidates. Also, local performance clubs may be able to recommend local judges who are properly licensed.

CLUB OFFICIALS SHOWING AT SPECIALTIES

The show chairman, the show committee, and all officers and board members of the national club should be able to show at both National specialties and Regional specialties providing they are held in conjunction with an all breed show and none of the above have been in contact with the judges regarding the assignment. At an independent show, the person making arrangements for and with the judge should not enter or exhibit, however their children should be able to show in juniors.  If any members are on the show committee of the associated all breed shows, they should not enter or exhibit if they have had any contact with the judges.

PREMIUM LIST

General

When held as an independent show, the show chairman is responsible to provide the

show secretary with the necessary information to construct the premium, and printed

labels will be provided for mailing to all members. For specialties held as part of an

all-breed show, the club show chair is responsible to provide the necessary information

and printed labels for mailing to the show chair of the all-breed club by their deadline.

All classes and/or competitions must be listed in the Premium List to be held as part of the show.  A copy of a previous independent national specialty can be found in the forms section of the specialty manual.

Trophies and/or prizes must be listed in the Premium to be given inside the ring.

All events that will include dogs that are planned on show grounds during show hours must be approved by the AKC before being advertised in the Premium. (CGC test, CERF Clinic, Parade of Title Holders, Training Seminar, Parade of Rescues, DNA testing, VWD testing, microchip clinic).

Availability of space needs to be discussed with the other clubs if the specialty is held with an all-breed show.  Space issues still need to be addressed if the show is an independent.

Items to verify that are correctly included in the premium list

  • AKC show number is to be on the front page upper right hand corner of the premium list.
  • A list of officers of the show-giving club, with the address of the secretary.

Notices

This is your club's opportunity to set the ground rules for your show. Each show site may have special circumstances requiring attention. Such items to consider: RV parking with permit only, designated crating and grooming areas, designated bathing areas, loading/unloading zones, designated exercise areas and poop maintenance, tenting regulations, use of x-pens etc. It is here you should inform your exhibitors of special rules.

Catalog Advertising

Advertise in your premium with the appropriate contacts and information listed.

RV Parking/Permit

If permits are required, the rules and costs should be in your premium with any pertinent deadlines. Check to see if there is premium parking for vans and cars.

Routes to the Show/map

It is helpful for your exhibitors to have written directions to your show site after entering town, as well as a basic map.

Hotels/Motels

The host hotel and contact should be listed, as well as alternate hotels in the area. It is preferred that listings include lower as well as higher rate hotels. If the host hotel has any special rules about dogs the information should be included with the listing, i.e. No dogs in Lobby, or Deposit per dog required.

All awards are solely based on the Judge's discretion and none may be handed out if the Judge so deems.

Hospitality

This committee will arrange for a hospitality room and/or hospitality table in the host hotel or on the show grounds for welcoming exhibitors and friends, staying within the budget proposed by the committee. Donations by club members and friends or organizations may be helpful in defraying the costs and every effort should be made to explore plausible donations.  The committee may also be responsible for arranging the purchase of judge’s gifts, corsages, and plan the judge’s lunch. Optional suggestions (budget allowing) would be welcome baskets and information packets to be placed in the rooms occupies by the ABTCC and their friends. A map of the show site for the hospitality bags and in the hospitality room, showing where dogs are not allowed and where exercise areas/washing facilities is helpful. A map to the show vet's office if they are not in attendance, as well as the location of a hospital or emergency care facility for people attending the show is also useful. Maps showing local areas of interest, nearby shopping and restaurants are very much appreciated by out of the area exhibitors

Banquet

At the National Specialty, there is an option to hold the annual meeting following the judging or waiting until before or after the meal service. Raffles, auctions or other entertainment may also be planned for before or after the meal if time allows. It is strongly suggested all raffles and auctions be silent, items displayed during dinner and winners notified at close of auction in order to save time. Judges are always invited to the banquet as a guest of the club, and should be asked to speak briefly about the entry.

Steps to a successful banquet:

  • Estimate the number of people who will be attending the banquet.
  • Select a site for the banquet. The first consideration should be the site hotel, but if they are not equipped, alternate sites should be considered. Try to select a site that will be as flexible as possible to changes in the menu count and number of attendees. Remember that you may get requests for changes up to the time of the banquet.
  • Inspect the dining facility and ask for a sample of the food.
  • Call or write a letter to each of the alternate sites to request information concerning facilities, capacity, menu, availability of dates, reception area, PA system, etc.
  • Work with the selected banquet site(s) to create a contract that will cover: banquet date, menu selection and price, table setup, availability of meeting equipment, and banquet schedule.
  • Select a menu that will satisfy the largest number of people. A good rule of thumb is to have a choice of beef, chicken, and fish or vegetarian dishes.
  • Select the prices for each of the banquets and meal selections. Prices should be defined to cover the cost of the meal, and banquet overhead. Make sure that the price of the meal includes all taxes and gratuities.
  • Make sure there are extra chairs for those who want to attend the post meal meeting or other activities, but do not want to attend the meal.
  • Coordinate with the treasurer to make sure all the banquet bills are paid in a timely fashion.
  • Notify the newsletter and the web site of all banquet arrangements.  Have a reservation form included in the newsletter and on the web site.

Grounds and Equipment

This committee should obtain the necessary ring equipment, tents, and individuals necessary to set up the equipment making sure the setup is accomplished the day prior to the show. Necessary arrangements should be made well in advance for a PA system, portajohns, tables, chairs, trash containers, poop scoops, etc. The committee should also obtain individuals to provide clean up during and after the show. Optional items would be plants and flowers to decorate the ring and show site, a security person, and perhaps a parking attendant. If your show's superintendent does not provide ring equipment (not ideal) arrange to borrow or rent sufficient ring equipment for all activities.

  • Plan your ring location, outline and size. Make sure you are familiar with the regulations for ring size requirements.
  • Arrange for a poop scooping services and/or provide adequate supplies for people to clean up after their own dogs.
  • Arrange for adequate trash receptacles above and beyond the requirements for poop scooping and make sure these are emptied regularly.
  • Arrange for parking and hookup for RV's. Many hotels and facilities do not allow people to stay in RVs on the property. If this is the case find a local campground where the RV people can set up. Make sure there is a price stated in the premium for RVs and a contact point for reservations.

o       The AKC requires that you have handicap parking and grooming areas available.

  • Arrange for security personnel if necessary.
  • Arrange for adequate restroom facilities, portable restrooms if necessary, and make sure they are stocked throughout the show.
  • Find a Public Address system if necessary.
  • Have water and ice ready for dogs that overheat.
  • If needed, arrange for rental of chairs and tables for trophies, booths, show secretary, photographer, EMT personnel, etc.
  • Have signage for exercise areas, restrooms, telephones, no dogs allowed, etc.

o       Crating and grooming areas are very important, make sure there is enough for the expected entry and possible weather conditions.  Check on availability of designated crating and parking for exhibitors.

Publicity and Advertising

Solicitations for catalog ads should begin early. The committee should establish rates taking into consideration the production costs of the catalog and whether ads are camera ready or not. The committee should allow ample time to collect and organize ads in order to meet the deadline established by the show secretary. It would also be recommended that non-club members have a higher advertising rate than that designated to members. Major dog related companies should be contacted for ads well in advance and a booster page or patrons page might also be a worthwhile consideration.

Fundraising

Optional but effective fundraising efforts including raffle, auction, coonhound booth/boutique, garage sales, CERF clinic, CGC test, food concessions, etc. It should be kept in mind that if any fundraising projects are taken on, they should be started as early as possible and volunteers will be needed to organize these projects as well as to work on them the day of the show.
